Sharing personal data and transferring it to third parties

Service Providers: Third parties providing services such as payment administration, auditing and consulting, IT support and marketing, as well as online booking channels you use to make reservations, such as www.booking.com, your travel agent or another person who books our services for you, and legal service providers.
Law Enforcement and Government Authorities: Law enforcement agencies, government institutions, and other entities entitled to receive such data from us in accordance with the laws of the Republic of Lithuania.
MANA HOTELS Group Companies and Partners: Only in accordance with this Privacy Policy and solely to facilitate your service booking.
If we disclose your personal data to other groups of recipients not specified in this Privacy Policy, we will inform you no later than at the time of the first disclosure of the data, unless we have already provided you with such information earlier in other documents provided to you or entered into with you.
Personal Data processing Periods
Personal data is processed no longer than necessary to achieve the purposes for which it was collected, or as required by data subjects and/or provided by law.
Generally, we will process data during the contract, service provision, and for 10 years from the end of the contract, service provision, or the end of the relationship, to comply with archiving requirements set by law and to assert, exercise, or defend legal claims of MANA HOTELS.
For direct marketing purposes, based on the data subject's consent, MANA HOTELS processes personal data from the receipt of consent for no longer than 5 years or until the data subject withdraws their consent.
For direct marketing purposes, when providing you with notifications about similar MANA HOTELS goods or services based on legitimate interest, MANA HOTELS processes personal data during the validity of the contract with you and for 3 years after the end of the contract or the purchase of goods/services (in the case of a one-time purchase) or until you object to receiving such notifications from MANA HOTELS.
Candidate data submitted for a specific selection process, where no employment contract is concluded, or if the candidate submits their data without applying for a specific position at MANA HOTELS, is stored with the candidate's consent for 1 year or until the candidate withdraws their consent.
Recordings of telephone conversations made for service improvement purposes are stored by MANA HOTELS for no longer than 14 days.
Data collected during guest behavior monitoring for service improvement and customization to guest needs is processed by MANA HOTELS for no longer than 3 years from the last contact with the client.
Payment card data is stored for 4 days after departure.
Your personal data obtained through social media platforms or online reviews to address your complaints or respond to positive feedback, to monitor our reputation online, and to evaluate and improve service quality, is processed by MANA HOTELS for no longer than 1 year from the collection of such data.
Video surveillance footage with personal data and personal data obtained using a lock card are stored and processed for no longer than 1 month from the date of recording/receipt.
Health status data is stored for the period provided by law. Data about your sleep, which is not included in the medical record, is deleted immediately after the service is provided.
If you withdraw your consent for data processing or the data processing period expires (when data is processed based on your consent), only data confirming the fact of your consent is stored, but no longer than 10 years from the end of the consent period or the withdrawal of consent, to assert, exercise, or defend legal claims of MANA HOTELS.
Your personal data obtained for the implementation of COVID-19 (coronavirus infection) prevention and control measures as instructed by the Ministry of Health of the Republic of Lithuania is stored and processed for no longer than 21 days from the date of recording/receipt.
Processing of health related data
In order to properly provide you with the wellness services, we process your special category personal data - data about your health condition. Your health information received for the purposes indicated herein shall be kept confidential and shall not be shared with other persons.
Data Processing Related to Payment Collection
To ensure that you pay for our services, we:
Utilize the services of payment collection providers. For this purpose, we provide your identification data, order details, and email information to these providers, who send an invoice with a payment link to your email address.
Collect your credit/debit card information. Upon receiving your credit/debit card details, we verify your credit limit.
We process data related to payment collection solely for the purpose of securing payment for services (our legitimate interest).
If you cancel or modify your order or under other conditions requiring refunds, we will refund your money directly through a commercial bank.
Video Recording for Property and Personal Protection and Theft Prevention
We conduct video surveillance in our hotels to protect our property, your property, and the property of others, as well as the health and lives of individuals, based on the legitimate interest of MANA HOTELS and third parties.
During video surveillance, we collect the following information: video recordings, the date and time of the recordings, and location.
We organize video surveillance in such a way that the surveillance area is limited to the necessary territory (room, part of a room) of our hotels. The interior of our hotel premises and entrances to the hotel are monitored.
Video surveillance is not conducted in areas intended for private use, such as toilets, showers, changing rooms, and hotel rooms.
Video recordings may only be used to detect suspected criminal activities, administrative offenses, or to prove, disclose, and defend damages to MANA HOTELS employees, service providers, third parties' property, or MANA HOTELS property, health, or lives. They may only be transferred to individuals entitled to receive such data by law.
Video recordings are provided only to the police.
Processing of Data Obtained from Lock Cards for Property and Personal Protection, Theft Prevention
To ensure your visit to MANA HOTELS is safe, MANA HOTELS conducts access control for property and personal protection and theft prevention purposes. Access control is conducted using the room lock card and code issued by MANA HOTELS.
The room lock card and code record your entry/exit from the MANA HOTELS hotel room. During your stay, we assign you a lock card and code number and set its validity period.
Data obtained from the use of the room lock card and code may only be used to detect suspected criminal activities, administrative offenses, or to prove, disclose, and defend damages to MANA HOTELS employees, service providers, third parties' property, or MANA HOTELS property, health, or lives. They may only be transferred to individuals entitled to receive such data by law.
Data Processing for Direct Marketing Purposes
By providing us with your name, surname, email address, or phone number, you can agree or disagree that this data is used for direct marketing purposes.
When processing your personal data for direct marketing purposes, we may also obtain information about whether our newsletter was read: when and how many times it was opened or if any links were clicked.
With your consent, we will send you information about services and goods offered by MANA HOTELS and other related companies.

MANA HOTELS Hotel Rating and Guest Review Analysis and Complaint Handling for Service Improvement Purposes
MANA HOTELS may process your personal data obtained through social media platforms (such as Facebook, Instagram, LinkedIn, Tik Tok, and others) or online reviews (e.g., TripAdvisor) to examine your complaints or respond to positive feedback about us, monitor our online reputation, and evaluate and improve the quality of our services. For the purposes specified in this section, we process your personal data based on the legitimate interest of MANA HOTELS.
For the purpose specified in this section, we may process your personal data that you share with us or publish on social media or in other online reviews about us.
Monitoring and Analysis of Your Behavior for Service Improvement Purposes
When you stay at MANA HOTELS, we process your name, surname, the number of times you have stayed at MANA HOTELS, the dates, the price paid for services, what you ordered to your hotel room, and any additional services you ordered. We process this data to evaluate and improve the quality of our services and to offer you tailored services the next time you stay at MANA HOTELS. For the purposes specified in this section, we process your personal data based on the legitimate interest of MANA HOTELS.
Personal Data Processing for Gift Voucher Purchase
We process your name, surname, information about the service/product indicated on the voucher, your email address, the validity date of the gift voucher, and payment details when you purchase a gift voucher. If you buy a gift voucher for another person, we also process the recipient's name.
Personal Data Processing for Employment at MANA HOTELS
Potential MANA HOTELS employees (candidates, job seekers) provide MANA HOTELS with the following personal data: resume, name, surname, phone number, email address. We will inform you about the processing and retention periods of your personal data as a potential employee during the first contact, either verbally or via email. You can find information on how we process your personal data as a potential employee in this Privacy Policy section.
When contacting MANA HOTELS through social media platforms, e.g., LinkedIn, the social network operator may process your interest in MANA HOTELS job postings according to the policies of the social network operator.
Your personal data submitted when applying for a specific position at MANA HOTELS is processed for the purpose of concluding an employment contract with you as a potential employee.
If you apply for a specific position but are not offered the job, your personal data will be destroyed at the end of the selection process, unless you provide consent to retain your personal data for future MANA HOTELS employee selections. Personal Data Processing Related to COVID-19 Restrictions
If you visit MANA HOTELS restaurants, we process your personal data, including your name, surname, and phone number. These data are processed under the instructions of the Ministry of Health of the Republic of Lithuania for the purposes of COVID-19 (coronavirus infection) prevention and control measures. If you do not agree to the processing of your personal data, you will not be allowed to enter MANA HOTELS restaurants.
Data Processors
Your personal data may be processed by data processors providing accounting, legal, website hosting, data center and/or server rental, IT maintenance, external audit, and other services to MANA HOTELS, as well as by managers of hotel management systems and hotel booking systems.
Data processors have the right to process personal data only according to MANA HOTELS instructions and only to the extent necessary to properly fulfill the obligations specified in the contract. MANA HOTELS, engaging data processors, aims to ensure that data processors have implemented appropriate organizational and technical measures to ensure security and maintain the confidentiality of personal data.
Joint Data Controllers
Your personal data may be processed not only by the data controllers specified in this Privacy Policy but also by other data controllers (i.e., joint data controllers as understood in Article 26 of the Regulation), such as other companies in the MANA HOTELS group.
We have agreements with joint data controllers, the main terms of which you have the right to review by contacting MANA HOTELS. Upon your request, we will provide you with the contact information of joint data controllers.
When your data is processed jointly with other data controllers, you can exercise your rights as established in the Regulation concerning each of the joint data controllers.
Your Rights Regarding Personal Data
Your rights regarding personal data include:
Right to be informed about the processing of your personal data:
- When we collect personal data directly from you, we inform you at the time of data collection:
- Verbally (if we communicate with you verbally, e.g., by phone);
- In writing (information sent by email is considered provided in writing).
If we obtain your data from sources other than you, we will inform you about the processing of your personal data verbally or in writing (as mentioned above) no later than one month from receiving the data, or if your personal data will be used to contact you, no later than at the first contact.
Right to access your processed personal data and how it is processed:
You have the right to receive information about the retention period of your personal data, the sources from which the data were collected, the purpose of the processing, and to whom the data are disclosed. Upon receiving your request, we will promptly, but no later than one month from the receipt of the request, check whether and what personal data of yours are being processed by MANA HOTELS. If we find that we process your personal data, we will provide you with information about the processed personal data and a copy of the processed personal data in electronic or paper format.
We may extend the period for providing a response if necessary, considering the complexity and number of your requests. We will inform you separately about any such extension. If we decide to extend the response period, you have the right to contact the State Data Protection Inspectorate.
Typically, we provide information to you free of charge. However, if your requests are clearly unfounded or disproportionate, particularly due to their repetitive nature, or if you request a copy of the processed personal data in a format other than the electronic or paper format prepared by MANA HOTELS, we may charge a fee covering the administrative costs incurred by MANA HOTELS for providing the information or taking the requested actions.
Additionally, if your requests are clearly unfounded or disproportionate, we have the right to refuse to act on your request.
Upon your request, information can be provided verbally, by allowing access to the document, providing a certificate, an extract of the document, a paper copy of the document, an electronic medium, or access to the information file. If you do not specify the format for providing the information in your request, we will provide the information in the same format as the request received.
Right to request correction of personal data and to suspend data processing if you determine that the data is incorrect, incomplete, or inaccurate after reviewing your personal data:
In such cases, MANA HOTELS will promptly inform you of the correction, destruction, or suspension of the processing of personal data performed or not performed at your request. We will also inform data recipients of the correction or destruction of personal data or the suspension of data processing performed at your request, except where it is impossible or overly burdensome to provide such information. In such cases, we will provide you with information about those data recipients at your request.
Right to request the destruction of personal data or to restrict data processing if, upon reviewing your personal data, you determine that the personal data are processed unlawfully or unfairly:
MANA HOTELS will promptly inform you of the restriction of data processing performed or not performed at your request. Restricted personal data are stored. Before lifting the restriction, we will inform you of this using electronic communication means. We will also inform data recipients of the restriction of data processing at your request unless it is impossible or overly burdensome to provide such information. In such cases, we will provide you with information about those data recipients at your request.
Right to object to the processing of your personal data, except when such personal data are processed for legitimate interests pursued by the data controller or a third party to whom the personal data are disclosed, and if the data subject's interests are not overriding:
If you object to the processing of personal data, further data processing is carried out only if it is motivatedly determined that the reasons for processing the personal data outweigh your interests, rights, and freedoms, or if the personal data are necessary for establishing, exercising, or defending legal claims.

Right to withdraw consent for data processing:
You have the right to withdraw all your consents for the processing of personal data at any time when the basis for processing your personal data is your consent provided to MANA HOTELS.
Right to request data erasure (right to be forgotten):
You have the right to request that MANA HOTELS erases personal data related to you for the reasons specified in Article 1 of the Regulation.
We have the right to refuse to fulfill your request in cases specified by law, including but not limited to cases discussed in Article 17(3) of the Regulation.
If we fulfill your request and your personal data (erased upon your request) were transferred to data recipients, we will inform those data recipients unless it is impossible or overly burdensome to provide such information. At your request, we will provide information about those data recipients. This right cannot be exercised if we are required by law to retain personal data.
Right to data portability:
You have the right to request that the personal data you provided, if processed based on consent or a contract and if processed by automated means, be transferred to another data controller or provided to you in a structured, commonly used, and machine-readable format if technically feasible. When exercising your right to data portability, you must specify whether you prefer the personal data to be transferred to you or another data controller.
If we fulfill your request and you wish the data to be provided on a digital medium, we will provide you with the personal data processed by MANA HOTELS on a one-time recording CD provided by you, or on a one-time recording CD provided by MANA HOTELS, with you compensating the cost of the medium.
You do not have the right to data portability for personal data processed non-automatically in structured files, such as paper files.
Transferred personal data are not automatically deleted. If you wish for the data to be deleted, you must contact MANA HOTELS to exercise your right to request data erasure (right to be forgotten).
Right to object to being subject to solely automated data processing, including profiling:
You have the right to know and be informed about the logic involved in automated processing and the possible consequences of such data processing when the data are processed solely by automated means.
When you request a review of a decision based on automated data processing (if such decisions are made by MANA HOTELS concerning you), we will conduct a thorough evaluation of all relevant data, including the information you provided.
Right to lodge a complaint with the State Data Protection Inspectorate or a competent court regarding personal data processing:
You can lodge a complaint with the State Data Protection Inspectorate, located at A. Juozapavičiaus g. 6, Vilnius, email address ada@ada.lt, website www.ada.lt, or a competent court of the Republic of Lithuania concerning our actions or inactions related to the exercise of data subject rights. You have the right to lodge a complaint personally or through a duly authorized representative or a non-profit institution, organization, or association meeting the requirements of Article 80 of the Regulation.
Right to compensation for damage suffered due to a violation of data subject rights:
If you suffer material or non-material damage due to a violation of your rights, you have the right to seek compensation from a competent court of the Republic of Lithuania.
How to Exercise Your Rights:
To exercise your rights as a data subject, you can make a request verbally or in writing, submitting the request in person, by mail, or electronically to the contacts provided in this Privacy Policy.
If you submit a request verbally or in writing in person, you must confirm your identity by presenting an identity document. Without this confirmation, we cannot accept your requests, and your rights as a data subject will not be exercised. This provision does not apply when requesting information about data processing under Articles 13 and 14 of the Regulation.
If you submit a request in writing by mail, you must include a notarized or otherwise legally certified copy of an identity document with the request.
If your personal data, such as name or surname, have changed, you must provide copies of documents confirming these changes; if sent by mail, the copies must be notarized or otherwise legally certified.
If you submit a request electronically, the request must be signed with a qualified electronic signature or formatted in a way that ensures the integrity and immutability of the text. This provision does not apply when requesting information about data processing under Articles 13 and 14 of the Regulation.
The request to exercise data subject rights must be readable, signed, and include your name, surname, address, and other contact details for communication or for receiving a response regarding the exercise of data subject rights.
You can exercise your rights personally or through a representative. If you choose to exercise your rights through a representative, the representative's request must include their name, surname, address, and other contact details for communication, as well as your name, surname, and other necessary data for proper identification of the data subject, and provide a document or its copy confirming the representation.
If we have doubts about your identity, we have the right to request additional information to confirm it.
For all matters related to the processing of your personal data and exercising your rights, you have the right to contact the MANA HOTELS Data Protection Officer. When contacting the MANA HOTELS Data Protection Officer by mail, we recommend writing on the envelope that the correspondence is intended for the MANA HOTELS Data Protection Officer.
If you do not follow the procedure outlined in this section when contacting us, we will inform you of this no later than 7 calendar days from the receipt of your request and will specify the deficiencies. If you do not correct the deficiencies or do not inform MANA HOTELS about the reasons why the deficiencies cannot be corrected, we will not process your request.
In the event of objective circumstances preventing the correction of the deficiencies, we may decide to accept and process your request after evaluating such circumstances.
We will not consider your request deficient if, when contacting us in writing, you do not follow the request form specified in this Privacy Policy section.

MANA HOTELS implements appropriate organizational and technical data security measures, including protection against unauthorized or unlawful processing of personal data and against accidental loss, destruction, or damage (integrity and confidentiality principles). MANA HOTELS Social Media Accounts
MANA HOTELS has created and manages accounts on social networks such as LinkedIn, Facebook, and Instagram. All information you provide on these social networks (including messages, use of "Like" and "Follow" fields, and other communications) or that is obtained when you visit MANA HOTELS social media accounts (including information collected through cookies used by social network administrators) is controlled by the social network administrator. Therefore, we recommend reading the privacy notices of the social network administrators and contacting them directly regarding the use of your personal data.
As the administrator of LinkedIn, Facebook, and Instagram accounts, MANA HOTELS selects appropriate settings based on its target audience and business management and promotion objectives.
